Job Summary:
|
The School of Public Health at SUNY Downstate Health Sciences University is seeking a full-time Staff Associate/Budget Director. The successful candidate will:
- Oversee timely completion of personnel action forms, purchasing requisitions, check requests, travel advances and expense reports, honorarium request.
- Develop all curricular budget documents for the School of Public Health.
- Develop and implement internal financial tracking mechanism, including but not limited to creating tracking spreadsheet, performing monthly reconciliations, documenting business activities, and maintaining financial records.
- Monitor all budget lines, purchase requisitions, revenue, and expenditure for SPH’s State Purpose, IFR, and HSCB Foundation accounts.
- Assist with ASPPH and CEPH financial data reporting.
- Assist with placing orders for state-funded services, supplies and equipment.
- Complete monthly p-card certifications and submit reimbursement transactions for all travel related expenditures.
- Document and reconcile monthly IFR register reports and implement SPH Research Incentive Program.
- Interface with State Purchasing, Research Foundation Purchasing and other fiscal entities to arrange travel for faculty, staff, administration, students, interview candidates, and other travel needs.
- Submit transactions for student assistants and reimbursements for travel-related expenses.
- Interface as needed with Downstate legal counsel on contracts as directed by the Dean.
- In consultation with the Grants Manager, provide yearly research dollar per percent effort for full-time faculty members by department.
- Project budget for the expansion and renovation of space for the School of Public Health.
- Analyze market conditions and trends in public health and higher education admissions and develops/adjusts recruitment strategies accordingly.
- Collect data from various industries, including pharmaceuticals, business and technological, and potential employers on their needs for public health graduates.
- Collect and organize new content for submission to the Downstate President's Bulletin and weekly ASPPH Friday Letter.
- Support SPH administration in managing and updating the SPH website and comply with SUNY DHSU regulations for website.
- Draft internal announcements and newsletter articles, develop and implement social media posts, support video production projects, create and distribute student and alumni spotlights, as schedule permits.
- Collaborate with the SPH recruitment team to develop, execute, and evaluate recruitment strategies by creating information session webpage and updates, as needed.

Required Qualifications:
|
- Bachelor's Degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of administration, organization, report analysis, writing, and promotion/outreach.
- Good communication skills, computer literacy, and strict adherence to standards of confidentiality.
- Microsoft Office Suite proficiency (Outlook, Word, Excel, and PowerPoint) and the ability to learn new software as needed.
- Strong organizational skills and ability to efficiently prioritize and complete workload within time constraints.

Preferred Qualifications:
|
- Master's Degree.
- Experience using financial software tools, strong communication skills, attention to detail, and proficiency in budgeting processes and financial forecasting.
