Job Summary:

The Division of Student Affairs and Admissions at SUNY Downstate Health Sciences University is seeking a full-time Admissions Counselor / Staff Assistant. Reporting directly to the Director of Admissions, the successful candidate will:

  • Serve as the assistant to the College of Medicine (COM) Interview Coordinator.
  • Serve as Admissions Counselor for prospective applicants and perform the coordination, timely and accurate processing of admission applications to the College of Medicine (COM), School of Health Professions (SoHP), College of Nursing (CON), and the School of Public Health (SPH).
  • Perform administrative activities necessary for the effective planning, coordination and implementation of initiatives to enhance and streamline the student application and interview process.
  • Liaise with faculty, administrators and other institutional staff.
  • Participate in commencement, orientation, registration, and other student special on-and-off campus recruitment activities.
  • Be familiar with the admission requirements and procedures for all schools, to provide accurate information by phone or in-person.
  • Demonstrate the ability to provide outstanding customer service over the phone, even during challenging situation and/or scenarios.
  • Perform data entry, scanning and retrieval of sensitive documents.
  • Assist in the coordination of special events including but not limited to Admissions Committee, Research Day, White Coat Ceremony, and Open House information sessions.
  • Gather data from the applicant’s database and interview module for the preparation of accurate and timely admission-related reports.
  • Designs, formats various forms and reports as required.
  • Assist with the monitoring of expenditures and with the planning and coordination of room reservations and food orders.
  • Accurately respond to questions from other offices, agencies, or the public regarding applicant information and admissions process.
  • Serve as relief receptionist, greet applicants and respond to questions from previous applicants.
  • Counsel prospective applicants to all programs across all schools and colleges as needed.
  • Develop a general knowledge of other student support areas (e.g. Financial Aid, Registrar, Residential Life, Student Affairs, Bursar, etc.).
  • Assist with improving overall image, productivity, and student-friendly delivery of services in the Office of Student Admissions, including setting an example as an approachable, resourceful, and thorough professional, for co-workers and office clientele.
  • Assist with other administrative duties as required or as business need warrants.

Required Qualifications:

  • Bachelor’s Degree.
  • 2+ years of current work experience in a college or university setting (or equivalent).
  • Proficiency in work processing, data entry, and experience working with Student Information System.
  • Must possess excellent organizational and interpersonal communication skills.
  • Must be detail-oriented. 

Preferred Qualifications:

  • Familiarity with the SUNY system and colleges, Banner student information system, student recruitment, and the role of the admissions office in the Division of Student Services is desired.

Work Schedule:

Monday to Friday; 9:00am to 5:00pm (Full-Time)

SL-2

Commensurate with experience and qualifications
